The bottleneck
Ad hoc proposals slowed bids down, and change orders could disappear into message threads without being billed. Finance, lead management, and project delivery did not share an operating view. Expansion meant reproducing that coordination burden at another location.

A company operating system connected finance, HR, marketing, lead management, and project delivery. The bid pipeline turned submitted deal data into a proposal while keeping pricing human-reviewed.
- A new-opportunity form triggered team alerts, project-folder creation, and proposal generation.
- Moving a deal to Ready to Send produced the PDF for delivery.
- Documented workflows and a team handbook made the system usable day to day and repeatable across locations.
What changed
The operating system recovered $264K per year in bid and change-order revenue and saved $22K per year in labor and tooling. Real bids continued moving through the pipeline months after the build.
The company copied the operating system to its second location, with a third in the works. The engagement stepped down to maintenance and finished with the system in the client's hands.
